We are getting record numbers of enquiries both by phone and by e-mail. With phone enquiries we can ask the questions necessary to get the information that we need in order to provide accurate quotes, advice and information. The majority of e-mail enquiries are also fine with sufficient information for us to provide the same service. However a small, but increasing, number of e-mail enquiries are missing essential information. The main ommissions are the destination where the car is needed, how long it is needed for, what size/type of car is required, or the number of people travelling, and so on. We always reply, politely requesting the missing information and most people do respond and provide it. Some people never reply so we are unable to assist them. This is annoying because we probably could in most cases. And it wastes time that could be better spent on other clients.
Some enquiries contain completely useless and irrelevant information. One case recently gave no indication of how long the car was required the car for other than that it was to be collected on a Tuesday and returned on a Saturday. How many Saturdays after the Tuesday of collection wasn’t advised or in any other way indicated. Instead of giving this essential information there was a prominent but utterly useless comment that ‘we are both over 40 – for insurance purposes’ (if anyone knows why ‘over 40′ is important for insurance purposes on hire cars please let us know). The reply to our request for a duration of the rental was rude, advising that ‘that information has already been given’, before snapping that the car was required for 4 days. Why could this simple information not be given in the original enquiry, or with good grace? As it happened the enquirer had a totally unrealistic expectation of what the cost would be, and even with our excellent rates, we couldn’t get near his figure.
Car hire is a straightforward product that doesn’t require heaps of complicated information. All we need is to know is:
1. where the car is to be collected (and where it is to be returned if a one-way routing)
2. dates, and times if possible, that the car is to be collected and returned
3. type/size of car required, or no. of people in the party and will advise suitable vehicles
4. any other information that you feel is important i.e. golf clubs, pushchairs, young drivers, drivers age 65 or over, etc.
